Group Management

Group management in Inventory Pro spans three administration surfaces: System Groups, Group Permissions, and Group Customer Assignment. Groups define what users can see and do. Every user belongs to exactly one group.

System Groups

System → System Groups

The System Groups list shows all groups in the system. Four groups are configured by default:

List columns: Edit, Record, Name, Active.

Adding or Editing a Group

  1. Navigate to System → System Groups.
  2. Click Add to create a new group, or click the pencil icon to edit an existing one.
  3. Set the Name field.
  4. Check or uncheck Active to enable or disable the group.
  5. Click Save.

A group with Active unchecked still exists in the system but cannot be assigned to users.

Group Permissions

System → Group Permissions

The Group Permissions matrix controls which security items are enabled for each group. Changes take effect immediately for all users in that group.

Using the Permissions Screen

  1. Navigate to System → Group Permissions.
  2. Select a group from the Current Group dropdown (ADMIN, CUSTOMER, EMPLOYEE, SUPPLIER).
  3. Optionally filter by category using the Security Type dropdown or the search box.
  4. Check items to grant access; uncheck to remove it.
  5. Click Save. Use Select All or Deselect All to bulk-change all visible items.

Note: Items highlighted in yellow should not be disabled unless recommended by CISS.

Security Types and Security Definitions

Two reference lists are linked directly from the Group Permissions toolbar:

  • Security Types - the categories used in the Security Type dropdown
  • Security Definitions - all individual permission items with their IDs

These lists are editable via the standard List/Edit framework, but changes affect the entire permission system.

Group Customer Assignment

Direct URL: Framework/GroupAssign.asp - not accessible from the standard System menu.

Group Customer Assignment controls which customers a group can see in dropdowns, customer searches, and the mobile customer list. The page displays all customers in a three-column checkbox grid.

Rule: If no customers are checked, the group has full access to all customers.

Configuring Customer Access

  1. Navigate directly to Framework/GroupAssign.asp.
  2. Check the customers this group should be able to see.
  3. Click Save.

To restore full customer access, uncheck all customers on the page.
