Archived Units

Archived Units shows archived inventory lots for discontinued items. Each row is an archived lot record, not one row per item. From this page you can search, filter, export, amend archived lot details, and return eligible lots to active inventory.

Quick Start

TaskHow
Open Archived UnitsOpen Inventory/Archive.asp. In some systems it may also appear in the Inventory navigation.
Review archived lotsUse the grid search, sorting, and filter controls.
Amend an archived lotClick the edit icon in the first column of a row.
Return an eligible lotOpen the amend popup and click Return if the button is available.

How It Relates to Discontinued Items

An item reaches this workflow after it is marked DC in the item master. In Inventory Overview, discontinued items appear under the Discontinued filter.

Archived Units is the lot-level view for those discontinued items. Instead of showing one summary row per item, it shows individual archived lot records with fields such as receive and issue references, dates, status, warehouse, location, and remarks.

If you need to stop using an item, change its DC flag in the item master. If you need to review or correct a specific archived lot, use Archived Units.

Viewing Archived Lots

The page heading is Archived Units and the grid is backed by the archive report surface for this module.

You can search by these validated fields:

  • Item ID
  • Description
  • Supplier
  • Customer
  • Units
  • Warehouse
  • Location
  • Serial
  • Alt. Serial
  • Job
  • Receive Ref
  • Issue Ref
  • Date In
  • Date Out
  • Reason Code
  • Remarks

The grid supports column sorting, report filters, and these exports:

  • CSV
  • XLSX
  • Print

The page is scoped to the current warehouse, so you may not see archived lots from other warehouses.

Amend an Archived Lot

Item IDs in the grid are plain text. To open a record, click the edit icon in the first column.

The popup lets you review the archived lot and amend lot-level details such as:

  • Receive Cost
  • Issue Price
  • Receiving Status
  • OutStatus
  • Receive Date
  • Issue Date
  • Expiration Date
  • Job ID
  • Remark
  • Detailed Notes

This is a lot-record correction tool. It does not change the discontinued status of the item master.

Return an Archived Lot

Some archived lots show a Return button in the popup. When available, Return moves that specific archived lot back to active inventory.

Keep these limits in mind:

  • Return works on one archived lot record at a time.
  • Return does not change the item’s DC flag.
  • Lots issued through some outbound workflows may not show Return at all.
  • The page does not explain why Return is missing on a specific record.

If you need to make the item active again in normal item views, update the item master separately by clearing the DC flag.

For duplicate cleanup before discontinuing an item, see Combine Items. For broader historical reporting, see Inventory Reports. For stock verification before discontinuing an item, see Cycle Counts.
