Appointments

Appointments track expected receipts when you do not need a formal purchase order. Use them for supplier drop-offs, recurring deliveries, consignment-style receipts, or other expected inbound stock that still needs to be planned and received.

Access: Inventory -> Management -> Appointments

Create an Appointment

  1. Open Inventory -> Management -> Appointments.
  2. Click Add Appointment.
  3. Complete the appointment header.
  4. Save the record, then open the line items page.

Header Fields

The appointment header can include:

  • Supplier
  • Carrier
  • ShipVia
  • Warehouse
  • Scheduled date and time
  • Reference
  • Process No
  • Packing List
  • Supplier Invoice
  • Commercial Invoice
  • Receiving Instructions
  • Job

The warehouse must be set before the appointment can be received.

Manage Line Items

Open the appointment and go to Line Items.

The line grid supports these core fields:

Appointments calculate package values and line totals as line data changes. Completed appointments become read-only.

Receive from an Appointment

When the appointment is open, has a warehouse, and your account has receiving permission:

  1. Open the appointment Line Items page.
  2. Click Receive.
  3. Inventory Pro prepares the receiving transaction from the appointment.
  4. Finish the receipt from the receiving workflow.

Partial receiving is supported. If some quantity remains, the appointment stays open and the received quantity updates on the line items.

Statuses and Filters

The list page uses these filter labels:

Appointment records can also show more specific status text on the appointment itself, including open past-due and partial-receive variants.

Preview, Attachments, and Options

The appointment lines page can expose these tools:

  • Preview for the printable appointment detail
  • Image attachment view
  • PDF attachment view
  • Admin Options gear for appointment-specific settings

The list page also supports Print, CSV, and XLSX export.

Permissions

These permissions are confirmed on the appointment workflow:

If your account is restricted to a supplier session, you can edit only appointments for that supplier.

Alerts

Appointment alert names use the Appointment_ prefix.

Troubleshooting
